Data Storage and Privacy

At Softcon, we value our customers’ privacy and take the protection of personal information seriously. VisitorCheck has been designed with privacy in mind, with the aim of keeping personal information within the customer’s own local environment wherever possible.

No personal information relating to visitors or hosts is stored in the cloud. Visitor and host information is retained locally on the SCS_ScanServer installed at the relevant site.

Access to the local SCS_ScanServer and the information stored on it is restricted through password-controlled access and should only be available to authorised personnel.

The local site is responsible for the protection, security, retention, backup, and lawful processing of all personal information stored on its local systems. This includes ensuring that appropriate technical and organisational safeguards are in place to protect personal information against unauthorised access, loss, misuse, alteration, disclosure, or destruction.

Each site is also responsible for ensuring that its collection, use, storage, and handling of personal information complies with the Protection of Personal Information Act (POPIA), as well as any applicable internal privacy, security, and data-retention policies.

Where cloud services are used by VisitorCheck, they are limited to the operational information required to facilitate functions such as access-pass requests, PIN generation, QR-code generation, and communication between the host and the relevant site. Personal visitor and host records remain stored locally at the site.

Our objective is to provide the functionality required by VisitorCheck while limiting unnecessary exposure of personal information and giving customers greater control over the data stored within their own environment.
